Privacy policy
Clarity is the workspace Summit Salon coaches use to read a salon’s numbers and coach from them. To do that well, Clarity holds things about you and your salon that matter: your financial statements, your team, your plans. This policy explains what we hold, why, who sees it, and the choices you have. It applies to Clarity at onclarity.com and the emails it sends, and it supplements Summit’s website privacy policy; for Clarity, this one governs where the two differ.

01Our values
- Your information belongs to you.We hold what coaching needs and no more. When something is no longer needed, we delete it or keep it only in a form that identifies no salon. You can see, correct, export or delete what we hold.
- We read it only to coach you.Your figures are read by your coach and the Summit people who support your coaching, and by no one else. We do not sell them, advertise with them, share them with brand or distributor partners, or use them to train artificial-intelligence models.
- We protect it from others.Another salon never sees your numbers; it sees only averages built from at least five salons. A request from outside Summit is refused unless the law requires us to answer it.
02Why we process your information
We process information about you and your salon for a few reasons, each tied to the coaching you asked Summit for:
- To coach you. Your coach reads your statements, plans visits, prices services, builds budgets and tracks your team’s progress in Clarity. This is the reason Clarity exists.
- To show you where you stand. Your monthly figures join anonymous peer averages so you can compare your salon to salons like yours. An average is published only when it covers at least five salons, and no salon is named or identifiable in one.
- To run the service. Signing you in, sending the emails you expect (a sign-in code, a report that is ready, an invitation), keeping the service secure and diagnosing errors.
- To bill and to meet our obligations. Invoicing Summit’s coaching fees under your coaching agreement, keeping the records the law requires, and answering a lawful request.
03What we hold, and where it comes from
- About you and your team
- Your name, email, salon and role, and the sign-in records your account needs. For staff on a Career Path plan: name, role, level and the service and retail figures your coach plans with.
- About your salon’s finances
- Profit and loss statements and balance sheets as monthly line items; point-of-sale and payroll exports; budgets, price lists and pricing worksheets; and QuickBooks data if you connect it.
- About your coaching
- Visit reports, action plans, your coach’s notes, the questions you ask Clarity’s assistant and its answers, and documents you share for review, such as a lease.
- About your market
- Public information about your area and nearby salons, such as published prices, addresses and census figures, gathered to give your numbers context.
- About billing
- Invoice and payment records for Summit’s coaching fees. Card details never reach Clarity; they are entered with and held by the payment provider.
- Technical records
- Sign-in events and the pages and actions that produced an error. Clarity runs no advertising trackers and no behavioural analytics.
This information comes from you and your team, when you sign in, upload or write in Clarity; from your coach and Summit’s bookkeepers, who upload statements and record visits for you; from QuickBooks Online, only after you connect it (section 5); from public sources, for market context; and from Summit’s own customer records, which supply your salon’s name, address and engagement when your workspace is created.
05QuickBooks
If you choose to connect QuickBooks Online, Clarity asks Intuit for read access to your accounting data. Clarity never writes to your books.
What we pull. Your profit and loss report and balance sheet, summarised by month, and the names of the accounts in your chart of accounts so that a mapping survives a rename. We pull a month only after it has ended. Your coach starts the first pull; after that Clarity pulls each new month automatically once your books are closed, on a day you or your coach can set, and your coach reviews every pull before it lands.
What we keep. The monthly figures you review and approve, and the connection itself: your QuickBooks company identifier and the credentials Intuit issues, which are encrypted and refreshed for as long as the connection stays active.
Disconnecting. You or your coach can disconnect at any time from Settings → Integrations in Clarity, or from your Intuit account’s connected apps. When you disconnect, Clarity revokes its access with Intuit and deletes the connection. Months already imported and approved stay in your workspace unless you ask us to remove them (section 7).
Your QuickBooks account itself is governed by Intuit’s privacy statement. We use QuickBooks data only for the coaching purpose stated here, collect no more than that purpose needs, and share it with no one outside section 4.
06Our use of automated suggestions
Clarity uses artificial intelligence in two places, and a person stays in charge of both.
- Mapping a statement. When a statement is reviewed, the names and amounts of its lines are sent to an AI service to suggest which of Summit’s accounts each belongs to. Your coach reviews every suggestion before the month lands, and Clarity remembers the choices so the next month needs fewer.
- The assistant. When you or your coach ask Clarity’s assistant a question, the question and the figures needed to answer it are sent the same way. The answer is a starting point for a conversation with your coach, not a decision.
No decision about you or your salon is made by a machine alone. The AI service does not keep your figures beyond answering and does not train on them.
07Your rights over your information
You can ask us to show you what Clarity holds about you or your salon, correct it, give you a copy, or delete it, and you can withdraw from data sharing at any time: from that day, no new uploads or pulls are made for your salon. Ask your coach, or reach us as section 11 describes. We answer within 30 days, may ask you to confirm it is you, and never treat you differently for asking.
Clarity is a business service. The information it holds about a salon’s finances is the salon’s, so a request about it comes from the salon’s owner or a person the owner names. If you live in a state with its own privacy law, such as California, these rights are yours under that law as well, and this policy is the notice it requires.
08Where we hold it, and for how long
Clarity’s data is held in the United States.
We keep your information only as long as the purposes in section 2 need it. While Summit coaches you, Clarity keeps your records so your coach can read the whole history. When your engagement ends, or at your request, we delete your salon’s workspace records within 30 days, and they leave our backups within 90 days. Summit keeps the invoice and visit records the law requires it to keep. Peer averages already contain nothing that identifies your salon and are not changed by a deletion.
09How we protect your information
We maintain administrative, technical and physical safeguards designed to protect your information: it is encrypted in transit and at rest, sign-in uses secure one-time codes or Summit’s own identity system rather than shared passwords, and access inside Summit is limited to the people whose job needs it. No method of transmission or storage can be guaranteed to be completely secure. If a breach affects your information, we will tell you without undue delay and as the law requires.
11How you can reach us
The simplest way is to talk to your coach, who can act on most requests directly. You can also reach Summit at:
Summit Salon Business Center, LLCAttn: Clarity4802 Gunn Highway, Suite 144Tampa, Florida 33624800-718-5949
Clarity is for businesses and the adults who run them, not for anyone under 18. If we change this policy in a way that matters to you, we will email the owner of each salon before the change takes effect and show the new version at your next sign-in. The effective date above is the version you are reading.
